What is the Gap Analysis template?

Facilitate the process of identifying and addressing gaps within your organization, project, or product. Conduct an insightful systematic evaluation to determine the disparity between your organization’s current state and its desired future form. The analysis involves comparing existing processes, performance, resources, or goals against the desired outcomes or benchmarks.


Gap Analysis allows you to recognize areas for improvements or adaptations to bridge these gaps and align with strategic objectives. Develop a detailed action plan to close the gaps and optimize the overall organizational performance by highlighting areas of weakness or inefficiency. How to use the Gap Analysis template in a few steps?

  1. Open the Gap Analysis template on a new whiteboard or add it to an already existing one.
  2. Start the Gap Analysis exercise by stating the main areas of your focus. Write them down in text blocks and place them in the Focus area column. Dedicate one swimlane per area.
  3. Move to the next two columns — Current state and Desired state. Write detailed notes about your organization, product, or solution on sticky notes or text blocks. Use one sticky note per idea to keep your research tidy. Once ready, place them in the appropriate column and swimlane. 
  4. Identify gaps in the next phase of the exercise and write down your notes on sticky notes or text blocks. Place them in the Gap column.
  5. Focus on activities that could help you bridge the disparities and who should be responsible for them. Write down your notes in the Action items and Assignee columns. 
  6. Convert sticky notes with action items into Jira issues with two simple clicks to start working on them with your team. Keep your whiteboard and Jira instance up-to-date thanks to the two-way synchronization.
